A system we built and run

Pensieve

Client knowledge that stays with the company instead of leaving with the person who held it.

The point of it

What it does for you

We built Pensieve because the history that mattered on our own accounts lived in people's heads and scattered inboxes. When someone was out, switched accounts, or left, the relationship started over. Pensieve sits on top of the CRM we already use and turns every call and meeting into clean, shared records — then hands any of it back the moment someone needs to get up to speed.

Anyone can pick up an account cold

Ask for the rundown on a client, prospect, or deal and Pensieve pulls the full picture together — open deals, recent notes, call summaries, follow-ups — into a short briefing. A new or covering person walks into the conversation already knowing the account.

The record actually gets written

Feed it a call or meeting transcript and it produces the meeting note, the field updates the conversation implies, new contacts, and follow-up tasks. The note-taking and data entry that normally never gets done gets done, so the CRM reflects reality instead of going stale.

Memory you can trust on a call

Every write is attributed to the person who made it, and the system creates and updates but never deletes. Account history builds up instead of getting quietly overwritten, so the record stays dependable when someone needs to lean on it.

Built for us first

This is what we built to run our own companies. Because we built it, we can rebuild it around yours.

Underneath the CRM framing, Pensieve is one repeatable pattern: turn the conversations a team has into shared, structured memory, then serve any of it back the moment it's needed. Any business where client knowledge lives in people's heads can run on the same foundation — and we'd rebuild it around your system of record and how your team actually works.

Distribution

Brief every rep before they call an account — order history, the last conversation, open issues, and who the decision makers are come back as a short rundown, so a covering rep walks in prepared instead of cold.

Manufacturing

Give the sales team a memory that survives turnover. When a long-tenured rep retires, the relationship history, technical requirements, and pricing context are already filed rather than lost with the person who held them.

Professional services

See an entire account's history before a client meeting: prior engagements, what was promised, open commitments, and the quotes that matter — so partners and associates work from the same record instead of separate inboxes.

Sales operations

Run account health and churn analysis off a CRM that's actually current, because calls and meetings get filed as they happen instead of waiting on reps to log them.

Questions

Good to know

What does Pensieve actually do?

It sits on top of your CRM and does two jobs. It files call and meeting transcripts into structured records — a meeting note, field updates, new contacts, and follow-up tasks — and it briefs anyone on an account in seconds, including proposal-ready context packs on demand. Knowledge from conversations ends up in the CRM, and the team can pull it back out when they need it.

How is this different from our CRM's built-in notes?

A CRM stores what people remember to type into it, which is usually not much. Pensieve does the typing — it reads the transcript, proposes the records, and writes them after you review — and it reads back out, producing a call-ready briefing or a proposal pack from everything on the account. The value is in both capturing the knowledge and serving it at the right moment.

Does this only work with one specific CRM?

We built it on the Twenty CRM to run our own accounts, but the memory layer isn't tied to it. The same pattern — filing conversations into structured records and briefing people on demand — adapts to whatever system of record your team already uses.

Every engagement starts with an audit — a fixed fee, in writing. If Pensieve, or a version of it shaped around your business, is the right move, we build it. If the answer isn't AI, we'll say so.
